Key Responsibilities:
- The House Manager should conduct check-in/check-out, welcome and orient new families in a home-like atmosphere and provide welcome packages and relevant guidelines. The team will also regularly engage with families to provide care and essential services, helping them overcome the challenges and barriers they face when their children need healthcare.
- The House Manager should provide support to strengthen families when needed most, particularly to improve our users’ psychosocial well-being and overall quality of life and experience in RMHC through our services and care in the house.
- To achieve these goals, the House Manager assists the Team Head in collaborating with the following relevant teams:
- Work closely with the facility team to ensure the seamless operation of the house, considering the 24-hour, daily nature of the service. Work with the Facility to ensure a safe and comfortable living environment and that reasonable and necessary supplies are rendered to the residents.
- Collaborate with the Development team to ensure that resources, including in-kind donations and appropriate support, are sourced from external counterparties, such as corporations or other funding agencies. Support Development teams in fundraising and PR events, and work with the Development Team on external visits or touring.
- Collaborate with the Volunteer Team, and ensure all house programs/activities support and improve the psychosocial well-being of our users. Provide constructive suggestions regarding programming and house activities to ensure successful deliveries to our users and visitors.
- Work with the House Manager from the Shatin House Team on operations and family issues, particularly when there is an overflow in Kwun Tong House.
- Work with the Team Head in conducting a periodic review of the House Operations Manual / Standard Operating Procedure and propose, as necessary, appropriate changes, additions, or deletions to the text.
- Assist the Team Head in the supervision, training, and evaluation of the House Team members, as well as scheduling the manpower to ensure all shifts are covered at all hours in the Kwun Tong House Team, including weekends and holidays.
- Maintain good coordination and relationships with medical professionals and social workers from partner medical facilities regarding referral procedures, case prioritization, confirmation procedures, length of stay evaluation, etc.
- Review, recommend, and implement guidelines and policies to ensure a safe and pleasant experience for families.
- Work with the Finance Team to follow the procurement policy for purchases and outsourcing services, if any.
- Ensure all incidents and accidents are appropriately investigated, reported, and followed up. Conduct regular check-ups to ensure the service quality and effectiveness.
- Conduct family meetings and room inspections as required and assist the Team Head in preparing reports (including a regular visiting report) on family responses to the Chief Executive Officer.
- Collaborate with the Facility team to ensure that all supplies and in-kind donations are adequately cared for, utilized, and accurately recorded to minimize waste.
- Participate in the House Operations Committee.
Requirements:
- Degree holder in Social Work or related discipline. Experience in Family and Child Services, as well as working in a residential setting, is preferred.
- Minimum 8 years’ post-qualification experience in social services with at least 5 years in a management position.
- Strong interpersonal skills and good track record in managing teams.
- Ability to deal with sensitive and confidential situations.
- Solid experience in crisis management, handling critical situations, and emergencies.
- Experience and knowledge in residential housekeeping management and event organizing will be an advantage.
- Good financial management skills and administration skills.
- Strong leadership and project management, good team player, and ability to work independently and manage multiple projects in a fast-paced environment.
- Proficient in both English and Chinese, written and verbal. The ability to speak Mandarin is an advantage.
- Hands-on knowledge of MS Office applications.
- Able to work a flexible schedule, including weekends and public holidays when needed, according to operating needs.
